Welcome to University Travel!

University Travel provides a resource of information to the university community to provide assistance and guidance regarding UTHealth’s travel policies in regard to contracted travel agency, air fares, rental car agencies, lodging, and the individually billed travel card.  Information is also provided for the International SOS Insurance and documentation for travel to Washington DC and the surrounding areas. 

University Travel acts as a liaison between UTHealth, UT System and the contracted travel vendors. We work with UT System, the other fourteen UT components and the State of Texas in a collaborative effort to negotiate contracts that provide best value, services and reporting capabilities to meet the university’s needs. Participation in the program enables us the ability to utilize combined purchasing power and economies of scale to control costs, maintain service levels, and offer innovative travel tools to travelers and travel planners. It also allows us to collect travel data system-wide providing information needed to negotiate contracts more effectively to reduce travel costs for the university. Reservations made outside the program, using the internet or other agencies do not count toward System or State of Texas travel volume nor can all data be captured effectively.

This website is not meant to constitute the sum of all travel policies, but to provide assistance in managing travel planning. Travelers and travel arrangers are still subject to the rules, laws, statutes, and policies that regulate university business travel.  Contact the manager of Travel Services if you need assistance in obtaining additional travel information. 

Mandatory Use:

Airfare must be purchased through UT System/UTHealth's contracted travel agency, Corporate Travel Planners (CTP).  A personal credit card may be used to secure airfare.  Car rentals must be secured through the UT System/UTHealth contracted car rental agencies, Avis/Budget, Enterprise/National or Hertz.  The UTHealth Contract ID numbers must be provided when securing a reservation to ensure contract pricing and benefits.  Any requests for an exception to the policy must be reviewed by the Manager of Travel Services in advance of purchase outside of the contracted agencies.

Airlines Announce Increases in Change Fees

Delta Airlines has increased its domestic change fee from $150 to $200, effective April 30, 2013.  This change applies to restricted or nonrefundable tickets for travel wholly within the US and Canada on Delta-marketed flights.

United Airlines has announced a $50 increase in change fees for original tickets issued on or after April 17, 2013, as follows:

The change fee for domestic itineraries (including routes between the USA and Canada) has increased from $150 to $200.

The change fee for routes to and from certain destinations in South America has increased from $250 to $300.  (The change fee for other international destinations remains at $250). 

US Airways has announced a $50 increase in change fees for domestic non-refundable tickets purchased after 11pm, April 23, 2013.  The new change fee for non-refundable domestic tickets is $200.  The change fee for transatlantic tickets has not changed.

Southwest Airlines has announced a new No Show Policy. If a customer has booked a nonrefundable fare anywhere in his/her itinerary and that portion of the flight is not used and not canceled or changed by the customer prior to scheduled departure, all unused funds on the full itinerary will be lost, and the remaining reservation will be canceled. The policy applies to reservations made or changed on or after Friday, May 10, 2013, for travel on or after Friday, September 13, 2013. This policy does not apply to military fares, senior fares, or travel during certain irregular operations, including severe weather conditions.  For more details see SWA No Show Policy.
